How do I mark an order as Paid, Packed, and Shipped?

The Preparation & Dispatch Workflow

Once an order is confirmed, physical fulfillment begins. Depending on payment terms, StoreYug guides you through recording payment, packaging merchandise, and handing parcels to your courier.

Step 1: Marking as Paid (Required for Prepaid Orders)

For prepaid orders, StoreYug protects store revenue by requiring payment confirmation before packaging begins:

  1. Open the Confirmed prepaid order.
  2. Click Update Status → Mark Paid (or click the Paid step on the timeline).
  3. Select Payment Method: Choose UPI, Bank Transfer, Credit/Debit Card, or Cash.
  4. Upload Payment Screenshot (Optional): Attach a screenshot or photo of the payment confirmation. StoreYug automatically compresses the image before uploading to optimize storage.
  5. Customer WhatsApp Notification: Keep the toggle enabled to automatically open a pre-filled WhatsApp message acknowledging receipt of payment to the customer.
  6. Click Save / Mark Paid. The order status updates to Paid.

*Note for COD Orders: COD orders skip this step; StoreYug enables "Mark Packed" directly from Confirmed.

Step 2: Marking as Packed (Boxed & Ready)

  1. Once an order is Paid (for Prepaid) or Confirmed (for COD), click Update Status → Mark Packed.
  2. Pick the ordered items from your shelves and verify product variant and quantity.
  3. Package the items securely in a courier box or tamper-proof bag.
  4. Add Packed Notes (Optional): Enter internal notes such as warehouse box ID or packer initials.
  5. Click Mark Packed. The status badge turns to Packed, indicating the shipment is ready for courier pickup.

Step 3: Marking as Shipped & Adding Tracking

  1. When the courier pickup executive collects the package, open the order.
  2. Click Update Status → Mark Shipped.
  3. Enter Tracking URL / AWB: Paste the courier consignment tracking link (e.g. https://bluedart.com/track?awb=12345678) or AWB number so the customer can track delivery.
  4. Upload Shipping Photo (Optional): Take a quick photo of the sealed package with the courier barcode label clearly visible. This serves as proof of dispatch in case of courier disputes.
  5. Click Confirm Shipment. The status updates to Shipped.
