Overview
StoreYug provides an intelligent order fulfillment workflow designed to prevent inventory errors, secure advance payments, and ensure smooth courier handoffs. The system automatically adapts its fulfillment pipeline based on whether an order is Prepaid or Postpaid (Cash on Delivery / COD).
💡 Two Distinct Fulfillment Pipelines:
• Prepaid Orders (6 Stages):
• Postpaid / COD Orders (5 Stages):
• Prepaid Orders (6 Stages):
Placed → Confirmed → Paid → Packed → Shipped → Delivered
• Postpaid / COD Orders (5 Stages):
Placed → Confirmed → Packed → Shipped → Delivered (Collect Cash)
Understanding the Difference: Prepaid vs. COD
The fulfillment pipeline changes based on when payment is collected:
- Prepaid Orders (Payment Required Before Packing): For prepaid orders (UPI, Bank Transfer, Card), merchants verify receipt of funds first. Once confirmed, you click Mark Paid, record the transaction details or screenshot, and only then proceed to Mark Packed. This ensures goods are never packed or shipped without confirmed payment.
- Postpaid / COD Orders (Payment Collected on Delivery): For Cash on Delivery orders, payment is made at the customer's doorstep. Therefore, StoreYug bypasses the intermediate Paid step prior to dispatch. Once confirmed, you advance directly to Mark Packed → Mark Shipped. When the courier delivers the parcel, you click Mark Delivered & Collect Cash, which records payment collection and marks delivery simultaneously.
The Interactive Stepper in StoreYug UI
On every order details page, StoreYug features an interactive horizontal progress stepper:
- On Prepaid Orders: The stepper clearly displays: Order Placed → Confirmed → Paid → Packed → Shipped → Delivered. You can click on completed steps or current actions to open status modals directly.
- On COD Orders: The stepper displays: Order Placed → Confirmed → Packed → Shipped → Delivered. Once delivered and cash is recorded, the Paid milestone is automatically stamped in the historical audit log.
The Core Stages of Fulfillment
- Placed (New Incoming Order): When a customer places an order on your online storefront or catalog, it appears as Placed. Stock is immediately reserved in your inventory to eliminate overselling risk.
- Confirmed (Order Accepted): You review items and delivery address. You can adjust courier shipping charges before confirming the order.
- Paid (Prepaid Orders Only): Record the payment method (UPI, Bank Transfer, Card, Cash) and upload optional payment screenshot proof before warehouse packing begins.
- Packed (Boxed & Ready): Goods are picked from inventory, quality checked, boxed, and shipping labels are affixed.
- Shipped (In Transit): The parcel is handed over to the courier partner. Tracking AWB/URL and parcel dispatch photo are attached for the customer.
- Delivered (Completed Sale): The parcel reaches the buyer. For COD orders, doorstep cash/UPI collection is recorded. The order moves to Sales History for accounting and GST reporting.
Filtering and Searching Orders
On your Orders page, you have powerful tools to locate any order instantly:
- Search Bar: Search by receipt number (e.g.
REC-2026-0001), customer name, or phone number. - Status Filter Chips: Click the stat cards at the top (All, Placed, Confirmed, Paid, Packed, Shipped) to view orders in a specific stage.
- Order Type & Channel Filter: Filter by sales channel (Online Storefront vs. Seller Created) and order terms (Prepaid vs. Postpaid).
- Payment Filter: Isolate orders by payment method (Cash, UPI, Card, Bank Transfer).
- Date Filter: Quick filter by Today, Last 7 Days, This Month, or Custom Range.
✅ Best Practice: Start your day by checking Placed orders to confirm addresses, then verify payments on Confirmed prepaid orders to enable smooth packing for afternoon courier pickups.
