What happens to stock when an order is placed or cancelled?

Automated Inventory Synchronization

You never have to manually adjust your stock count every time an order is placed. StoreYug features an automated synchronization engine that connects customer orders directly with your inventory ledger.

When an Order is Placed (Immediate Stock Deduction)

Stock deduction happens the moment an order is placed (via WhatsApp checkout, your online storefront, or in-store POS billing). The initial status created is "Placed":

  1. StoreYug checks if each ordered item has Track Inventory enabled.
  2. For tracked variants, it immediately executes an automated SALE_OUT movement.
  3. Using FIFO logic, units are deducted from your oldest purchase batches.
  4. The Stock Ledger creates an entry linked directly to the customer's Order Receipt Number.
💡 Why deduct at Order Placement? Deducting stock immediately at placement protects your business against overselling. If you only have 1 item left in stock, it is reserved the instant a customer places their order so another customer browsing your storefront cannot purchase the same item while you review the order!

What Happens When You Mark an Order as "Confirmed"?

When you subsequently open the order in your seller dashboard and click "Confirm Order" (or mark it as Accepted, Processing, or Delivered), StoreYug's built-in safeguard checks your stock ledger. Because the units were already deducted at placement, StoreYug safely preserves your balance and prevents double deduction.

When an Order is Cancelled or Rejected (Stock Reversal)

If an order cannot be fulfilled, or if the order is cancelled or rejected (statuses like Cancelled, Rejected, or Refunded):

  1. In the Cancel Order modal, you will find the "Restock items to inventory" checkbox (checked by default).
  2. When checked (Default): StoreYug automatically executes a REVERSAL entry in the ledger, immediately returning the reserved units to your available stock at weighted average cost so other buyers can purchase them.
  3. When unchecked: If you are cancelling the order specifically because the items were broken, expired, or lost prior to packing, simply uncheck this box. StoreYug cancels the order without returning the damaged items to your active shelf stock.
ℹ️ Subscription Requirement: Automated order deductions and reversals are active for stores whose subscription plan includes the Inventory Management feature.
