How do I search, filter, and track expense totals?

The Expenses Dashboard Layout

The StoreYug Expenses dashboard is built to give store owners an instant pulse on their operational costs. It features three interconnected tracking layers:

  1. Interactive Quick Stats Strip: High-level financial totals across all payment channels.
  2. Real-Time Search Bar: As-you-type search for titles and reference codes.
  3. Multi-Dimensional Filter Dropdown: Category, date range, and payment method selectors.

1. Using the Interactive Quick Stats Strip

At the top of the Expenses screen, you will find 6 summary cards:

  • Total (Blue): The grand total of all expenses matching your active filter criteria.
  • Cash (Green): Total cash outlays from your counter or petty cash funds.
  • UPI (Teal): Total payments made via UPI QR codes or apps.
  • Bank (Purple): Total vendor payouts transferred via bank net banking, NEFT, or IMPS.
  • Card (Amber): Total business card swipe and POS charges.
  • Other (Slate): Total settled through other payment channels like cheques.
⚡ One-Click Filtering: Click directly on any payment stat card (for example, UPI) to instantly narrow down the table below to show only UPI records. Clicking the active card again or clicking Total restores the complete view.

2. Real-Time Search Bar

The search bar at the top of the table allows you to find specific transactions in seconds without reloading the page:

  • Search by Title: Type keywords like Rent, Courier, Electricity, or Packaging.
  • Search by Reference Number: Type an invoice number or the 12-digit UPI UTR reference to verify whether a particular supplier bill has already been recorded.
  • Quick Clear: Click the × icon inside the search bar to clear your search query immediately.

3. Filtering by Category, Date, and Payment Method

Click the Filter icon (funnel button) next to the search bar to open the filter menu:

  • Category: Filter by a specific business category (e.g. show only Marketing & Advertising expenses) or choose All Categories. On desktop, this includes a live search box to quickly filter long category lists.
  • Date Range Presets: Quickly switch between common business accounting cycles:
    • Today: Shows only expenditures incurred on the current calendar day (ideal for evening drawer reconciliation).
    • Last 7 Days: Shows outlays from the past week.
    • This Month: Isolates expenses from the 1st of the current month to today (perfect for monthly expense reviews).
    • All Time: Clears date restrictions to display your entire historical ledger.
  • Payment Method: Filter specifically by Cash, UPI, Bank, Card, or Other.
🔴 Active Filter Indicator: When any filter is applied, a red badge dot appears on the filter button to remind you that your list is filtered. You can click the Clear link inside the filter dropdown at any time to reset all filters in a single click.

Pagination

To ensure lightning-fast performance, expenses are paginated at 20 entries per page. You can navigate across pages using the pagination bar at the bottom of the list without losing your active filters.
